Free rent receipt template
A rent receipt is a landlord's written record that a tenant paid: who paid, how much, on what date, for which rental and period, and how. This free rent receipt template is fillable on a phone or computer. Fill it in, then print it or save it as a PDF for the tenant, or print it blank and fill it in by hand. Under the form are a filled-in rent receipt example, what a receipt should include, and when a landlord has to give one.

Rent receipt example
This rent receipt is filled out for a partial payment. Rent of $1,200 was due on October 1, and the tenant paid $800 by check on October 5. The balance line records the $400 still owed, so you and the tenant agree on it from the day it was paid. For a payment in full, the balance reads $0.00.
It is the same payment as the October 5 line in the rent ledger example, and the receipt number goes on that ledger line.

What should a rent receipt include?
A rent receipt should show who paid, how much, when, for which rental and period, and how, plus the balance still owed and who received the money. Line by line:
- The date you received the payment.
- The amount, in dollars and cents.
- The tenant's name, the property address, and the unit.
- What the payment covers: the rent period, or another charge such as a late fee the lease allows.
- How it was paid, with the check or money order number or the transfer reference.
- The balance remaining after this payment, or $0.00.
- A receipt number, so you can find the receipt again and match it to your ledger.
- The name of the person who received the payment, and a signature on a paper copy.
For a cash payment, the receipt is the tenant's only proof of paying you, so write one on the spot every time.
Do landlords have to give rent receipts?
It depends on your state, and sometimes your city. Some states require a written receipt when a tenant pays in cash, and some require one whenever a tenant asks. Others have no rule for payments by check or bank transfer, where the bank keeps a record. Check your state and local law for what applies to your rental.
Where no law requires one, a receipt for every payment still answers "did you get my rent?" with a document, and it records a partial payment with the balance still owed. Tenants also use rent receipts as proof of rent paid when they apply for another rental or a mortgage.
Can I make a rent receipt in Word or Google Docs?
Yes. Make a two-column table with the labels from the list above on the left and the answers on the right, then save a copy for each payment. This template saves you the setup: Save as PDF gives you a file to email or print, and you keep the PDF with the tenant's records.
How to write a rent receipt
Write the receipt the day the money arrives, while the details are in front of you. These steps work for this template, a paper rent receipt book, or a document of your own.
Give it the next number
Number receipts in order, such as 2026-031 and then 2026-032. Write the same number on the payment's line in your rent ledger.
Write the date the money arrived
Use the day you received the payment. For a check, that can be later than the date written on it.
Record the amount and how it was paid
Write the amount in dollars and cents and the method: cash, check, money order, or transfer. Add the check or money order number, or the transfer reference.
Say what it pays for and what is left
Name the rent period, such as October 1 to 31, 2026, or the charge it pays. Then write the balance still owed after this payment, or $0.00.
Sign it and keep a copy
Sign as the person who took the payment, give the tenant the receipt, and file a copy with the tenant's records. A PDF from this template or the carbon copy in a receipt book both count as your copy.
How Rentals369 helps with rent receipts
In Rentals369, every payment you record on a tenant's rent ledger gets a receipt you can open and print, with its own receipt number. Tenants can open their receipts in the tenant portal when your portal settings let them see their balance, so proof of payment is there when they need it.
- A receipt for every payment you record, with the amount, date, method, and reference
- The tenant, property, and unit on each receipt, and the charge the payment was applied to
- Partial payments and the late fees you add sit on the same ledger as the rent
Rentals369 does not collect rent online. You record the payments you receive, and each receipt comes from that record.
