Move-in and move-out inspection checklist
A room-by-room checklist for recording a rental's condition when a tenant moves in and again when they move out. Fill it in on your phone or computer as you walk the unit, then print it or save it as a PDF, sign it with your tenant, and keep the copy with the lease.
Use it at move-in and again at move-out
At move-out you compare the unit with how it looked on the first day. Dated photos and notes that you and the tenant both signed show that starting condition, so you both work from the same record. That makes it easier to agree on what changed during the tenancy.
Walk the unit room by room
Follow the order on the sheet at move-in and again at move-out, so nothing is skipped.
Write what you see
Use plain, specific words, such as "carpet stain by the closet, about 3 inches wide". Words like "good" and "fair" mean different things to different people.
Photograph and number
Take a wide photo of each room and close-ups of anything you noted. Check that every photo has a date, and write its number in the notes column.
Review and sign
Go over the sheet with the tenant and let them add anything they see differently. Then both of you sign and date it, and each keeps a copy.
